What common AI tools for small businesses cost, whether they train on your data, and whether they offer a path for health data. Every fact here is taken from the vendor's own page and linked, with the date we checked it.

Which AI tools are free for small businesses?
Microsoft says Copilot Chat comes at no additional cost with eligible Microsoft 365 business plans. Google lists Gemini in Gmail on Workspace Business Starter. Zapier and Otter have free tiers with limits. Checked Oct 17, 2026.
Do ChatGPT Business and Claude Team train on my data?
OpenAI says it doesn't train on ChatGPT Business data by default. Anthropic lists model training as "None by default" for Team and Enterprise. Personal Claude plans are opt-out. Checked Oct 17, 2026.
Which AI tools can be used with patient health information?
Only plans with a BAA, set up correctly. Options include ChatGPT for Healthcare or ChatGPT Enterprise with Regulated Workspace, Claude Enterprise, and Google Workspace or Microsoft 365 once the BAA is in place. ChatGPT Business and Claude Team are not HIPAA-eligible. A BAA alone doesn't make you compliant. This is general education, not legal, compliance or HIPAA advice.
